Box truck cost per mile calculator
Your box truck cost per mile is every monthly cost, fuel included, divided by every mile you drive that month, loaded and empty. Enter your own costs below to get cost per mile, the break-even rate per mile after the dispatch fee, the break-even pay for an average load, and your monthly profit at the rate you plan to charge.

Box truck cost per mile is the one number every rate decision rests on. If you don't know it, every posted rate looks either great or terrible depending on your mood. This calculator adds up what the truck costs you in a month, spreads it over the miles you actually drive, and turns it into a break-even rate you can quote back to a broker.
How to read the result
- Fuel per month comes from your miles, mpg and fuel price.
- Total costs per month is fuel plus every fixed cost you entered.
- Cost per mile is total costs divided by total miles. This is your cost to move the truck one mile, loaded or not.
- Break-even rate (with fee) is the rate per mile you need so that, after the dispatch fee comes off the gross, you cover costs exactly. At this rate you earn nothing.
- Break-even per average load multiplies that rate by your average load length. Below it, the load loses money.
- Monthly profit at your rate shows what your planned rate leaves after costs and the fee, if you run the miles you entered.
How it's calculated
Fuel per month = miles ÷ mpg × fuel price
Total costs = truck + insurance + maintenance + tires
+ phone/ELD + other + fuel
Cost per mile = total costs ÷ miles
Break-even rate = cost per mile ÷ (1 − fee %)
Break-even per load = break-even rate × average load miles
Profit at your rate = miles × your rate × (1 − fee %) − total costs
The fee is divided out rather than added on because it is a percentage of the gross, not of your costs. At a 7% fee, you need about $1.08 of gross for every $1.00 of cost.
Where the example defaults come from
All defaults are an EXAMPLE for one 26 ft box truck. Replace every line with your own numbers.
| Input | Default | Source or note |
|---|---|---|
| Miles per month | 6,000 | EXAMPLE, loaded plus empty |
| Truck payment | $1,517 | 9.5% APR example from our financing guide |
| Insurance | $1,100 | Top of FreightWaves' March 2026 range for 26 ft owner-operators |
| Fuel price | $6.28 | EIA U.S. average diesel, $6.276, week of Oct 19, 2026 |
| Fuel economy | 9 mpg | EXAMPLE; use your fuel receipts |
| Maintenance, tires | $500, $220 | EXAMPLE |
| Phone and ELD | $120 | EXAMPLE |
| Other | $400 | EXAMPLE: tolls, permits, parking, accounting |
| Dispatch fee | 7% | Our single-truck fee; enter 0 if you self-dispatch |
On these numbers the example truck costs about $1.34 a mile, needs about $1.44 a mile to break even after the fee, and about $360 to break even on a 250-mile load. Fuel alone is roughly half the cost per mile, which is why a 1 mpg drop matters more than most owners expect.
How to use it before you accept a load
- Run the calculator once a month with real numbers from your bank statement and fuel card.
- Take the break-even rate and add what you need to pay yourself per mile. That is your minimum rate.
- When an offer comes in, divide the pay by total miles: loaded plus the deadhead to get there. If it's under your minimum, counter or pass.
For a single offer with tolls, extra stops and hours on the job, use the box truck load profit calculator. To see what loads in the market actually pay and how to negotiate up from your floor, read box truck rate per mile. If you haven't bought the truck yet, how much a box truck costs covers price ranges and total cost of ownership.
Where dispatch fits
A lower cost per mile mostly comes from fewer empty miles: the same fixed costs spread over more paid miles. That is the part of the job our dispatchers work on every day, planning the reload before you deliver and negotiating each rate from your break-even up, never from the posted number down.

FAQ
What is a good cost per mile for a box truck?
There isn't a reliable published average for box trucks, so we don't quote one. Your own number is the one that matters, because it sets your minimum rate. With the EXAMPLE defaults above, a 26 ft truck running 6,000 miles a month comes to about $1.34 per mile before the dispatch fee.
What are typical box truck maintenance costs?
It depends on the truck's age, mileage and how hard it runs. A practical way to budget is a set amount per mile put aside every week (the EXAMPLE uses $500 a month for maintenance plus $220 for tires on 6,000 miles), then adjusting it to your actual repair bills after six months.
How do I calculate fuel cost for a box truck?
Miles divided by miles per gallon, times the price per gallon. At 6,000 miles, 9 mpg and $6.28 a gallon, that is about 667 gallons and $4,187 a month, or about $0.70 a mile. Check your mpg from fuel receipts, not the window sticker.
Should deadhead miles count in cost per mile?
Yes. The truck burns fuel and wears tires whether it is loaded or not. Divide costs by all miles, then price loads against total miles (loaded plus deadhead), not loaded miles alone.
